Rental Terms & Conditions
These terms apply whenever HospoRent (a division of REO Pty Ltd, ACN 612 051 153) rents equipment to you. By paying a rental invoice or signing a rental agreement, you're agreeing to these terms.
1. The Agreement
Your rental starts when you pay your first invoice or sign a rental agreement — whichever comes first. Your agreement sets out the equipment, weekly rate, rental period, and bond. These terms apply alongside it.
We may update these terms from time to time by publishing a new version on our website. The version in place when you signed your agreement applies to your rental unless we agree otherwise in writing.
2. Payments
Rental payments are due weekly (or as otherwise stated in your agreement) by direct debit or another method we confirm in writing.
A bond equal to four weeks' rent is required before delivery. It's held as security and returned after collection, once the equipment has been inspected.
If a payment is missed, we'll reach out. A $25 reprocessing fee will be charged for every additional debit attempt made after a failed payment.
If it's not resolved within 7 days, we will pause the rental and arrange to collect the equipment.
If we need to recover overdue amounts through a third party, reasonable recovery costs are payable by you.
3. Delivery
We deliver to your nominated address Monday to Friday, 8:30am–4:30pm. Someone must be present to accept delivery and sign for the equipment.
Before delivery, please confirm:
- The delivery address is correct
- Access is clear and safe (no stairs, uneven ground, or restricted areas without prior arrangement)
- The equipment fits through all doorways and into its final position
- The correct power supply and ventilation clearances are in place
If delivery fails because the site wasn't ready or accessible, a re-delivery fee will apply. If access issues aren't flagged in advance, the delivery may be aborted and charges may apply.
Inspect the equipment on delivery. Report any visible damage within 24 hours.
4. Installation & Ventilation
All equipment has specific ventilation requirements set out on its product page and in its manual — please read these carefully before installation. Requirements vary by equipment type; for example, chest freezers have different clearance needs to upright fridges. As a general minimum for refrigeration equipment:
- Behind the unit: 100mm minimum
- Sides: 50mm minimum
- Above the unit: 500mm minimum
If cabinetry or facades are installed around the unit, they must be demountable or fully removable for servicing, and any vented areas must match the unit's original venting pattern and volume. If clearance above is less than 200mm or partially enclosed, forced exhaust fans must be fitted.
The unit must be positioned out of direct sunlight, in a well-ventilated area, with ambient temperature below 32°C.
5. Your Responsibilities
The equipment is our property at all times. You must not sell, sub-let, or use it as security.
You're responsible for:
- Using the equipment only for its intended commercial kitchen purpose
- Keeping it clean and following routine maintenance as outlined in the product manual
- Ensuring correct power supply and ventilation as required for the unit
- Not having the equipment serviced or repaired by anyone without our prior written approval.
- Unauthorized repairs may void the manufacturer's warranty, which HospoRent holds for the duration of your rental. If an unauthorized repair voids that warranty, you will be liable for the full RRP replacement value of the unit.
If the equipment is lost, stolen, or damaged beyond fair wear and tear, the cost of repair or replacement is payable by you.
6. Our Responsibilities
We'll deliver equipment that's clean, in good working order, and covered by the manufacturer's warranty. If a fault develops that's covered by warranty, we'll arrange repair or replacement at no cost to you.
We're not liable for loss of stock, loss of trade, or any indirect losses resulting from equipment failure.
7. Ending the Rental
You can end your rental at any time with at least 2 business days' written notice (FlexRent), or the notice period in your agreement (ValueRent).
The full rental amount for the agreed rental period remains payable in full, even if the equipment is returned early or the rental period is shortened. Early return does not reduce or waive the outstanding balance unless we have provided written authorisation to the contrary.
Make the equipment available for collection at the agreed time. If you're not available, rental charges continue until collection happens.
Equipment must be returned clean and in the same condition as delivered, allowing for fair wear and tear. Any cleaning fees or repair costs will be deducted from your bond before it's returned. Your bond will be processed within 7 business days of collection and inspection.
8. Disputes
If a dispute comes up, both parties agree to try to resolve it directly first. If it's not resolved within 30 days, it can be referred to mediation through the Victorian Bar's Expedited Mediation Scheme. These terms are governed by the laws of Victoria.
